HOW IT WORKS

Most tools hand you
a dashboard.
This one hands you the work.

Cortex9 reads your real data, builds a memory of your business, and turns it into specific tasks with a revenue estimate attached. A human approves every one of them. Here is exactly how that happens, stage by stage.

// THE PIPELINE

Five steps,
and a loop that closes.

Everything in the product is one of these five stages. Each feeds the next, and the results feed back into the memory in step 2 — which is why the recommendations get sharper the longer you use it.

01

Connect your real data

You link Google Analytics, Search Console, your Business Profile and your website. Then you answer a short interview about the business — what you sell, who to, at what deal value, and which towns you serve. That last part matters: it's the one thing no scan can discover on its own.

HOW IT WORKS One Google permission per source you connect, plus a six-step profile wizard. We crawl your sitemap and read the structured data on your pages to build an inventory of what you've already published. Nothing here is guessed — where a source isn't connected, the app says so rather than showing a zero.
02

We build a memory of your business

All of it is distilled into a living Business Brain — an eighteen-field document covering your offer, audience, competitors, brand voice, and the things you've already ruled out. It's the most important object in the product, because every other feature reads from it.

HOW IT WORKS The brain is generated on your first scan and refreshed weekly. Alongside it, every observation the system makes is stored as searchable meaning rather than keywords, so relevant history is pulled into future work automatically. Anything you write in it yourself is never overwritten by the AI.
03

Find the work that actually matters

Now the analysis runs — where you rank in every town you serve, whether AI assistants recommend you, which competitors are beating you and on what, what content is missing, and where your citations are wrong. It's scored against a 650-task growth matrix to find the gaps.

HOW IT WORKS Live search data from a rate-limited, spend-capped provider, combined with AI reasoning over your brain. A quarterly deep run produces a twelve-pillar plan; day to day, you just ask. Every recommendation carries an impact weight, a revenue estimate and its reasoning — so you can see why it's ranked where it is.
04

Do the work — with a human in the loop

Recommendations become real missions on a board, assigned to real people, with time tracked against them. Content, themes, social posts, product videos and outreach are all produced in the same place, using your brand kit so everything stays on-brand.

HOW IT WORKS Nothing is ever published, sent or changed automatically. Every AI proposal — a new keyword, a task, an article edit, an outreach email, a site theme — arrives as a confirmation card you approve or dismiss. When you reject something, the system remembers and stops suggesting that pattern.
05

Prove it moved the needle

At the end of the month the report writes itself: leads and calls, pipeline value calculated from your own deal size, where you rank now versus before, whether AI visibility improved, what was delivered, and how many hours it took.

HOW IT WORKS The report fuses your analytics with your ranking history and your tracked hours, then exports as a branded PDF or emails itself monthly. Where a data source isn't connected it prints a dash — never a zero dressed up as a measurement.
// RUNNING THE WORK

A marketing board,
not a generic project tool.

The difference is where the priorities come from — the data, not a meeting.

Mission board

Five columns from To Do through In Progress, Review and Blocked to Done, with drag and drop and sidebar filters. Cards show priority, assignee, due date and category — plus the AI's impact weight, so the most valuable work is visually obvious.

HOWEvery mission can carry a revenue estimate and a ranking impact, and keeps its full status history.

Time tracking

A timer on every task, plus manual minute logging. Answers "how many hours did we put into this client last month" accurately — including work done by collaborators, not just the assignee.

HOWEach increment is stored as its own event with who, when and how much, so history can be rebuilt for any period. Invoice preparation and the client report both read from this same source.

Comments & @mentions

Discussion attached to the work instead of scattered across email. Type @ and the person gets a real notification.

HOWMentions are parsed from the comment text and delivered in-app in real time.

My Work & personal tasks

One list of everything assigned to you across every client, overdue first. Plus a private board only you can see, for the things that shouldn't clutter a client workspace.

HOWMy Work merges pending AI proposals awaiting your approval with your active and upcoming tasks.

Calendar & Focus Mode

Month and week views scoped to your role, so overdue clusters are visible before a client notices. Focus Mode gives you one task, full screen, with a timer.

HOWManagers can toggle between their own work and the whole team's. In Focus Mode a bonsai grows against the task's allocated time, so the visual doubles as a read on whether you're inside budget — and pausing never resets it.

Invoice preparation

Turn tracked hours into an invoice without re-keying anything — line items built from real logged time at each member's rate, moved through requested → sent → signed → paid.

HOWReads the same time-log events as the reports. It prepares the invoice — it does not process payments.
// CORTEX

The AI already knows
the business.

The difference between a chatbot and a strategist is context. Every message carries your business brain, task status, analytics, uploaded spreadsheets, past observations, the strategy matrix and your competitor dossier.

Ask anything, grounded in your numbers

"What should I do this week?" returns an answer based on your actual traffic, rankings, competitors and open tasks — not generic advice you could have got anywhere.

HOWStreamed replies with the full context above injected on every turn, across a rolling twenty-message conversation.

Morning briefing

A daily strategic summary waiting when you open the app — what changed, what matters, what to do first.

HOWGenerated once per day and cached, so it's instant and costs nothing to re-read.

Actions, not just advice

Cortex proposes concrete changes — add these keywords, create this task, add this competitor, rewrite this article, change the site theme, run a red-team analysis. You approve or dismiss each.

HOWFourteen action types, each validated before it's offered. Nothing executes on its own, and anything touching a live site is pinned to one explicitly chosen project so it can never publish to the wrong client.

Voice

Push to talk, and have answers read back — hands-free strategy on a commute.

HOWUses your browser's own speech engine, so there's no per-minute cost.

Red Team

Seven adversaries stress-test the business: a rival's twelve-month plan to take your customers, an attack-surface report, a churned customer's honest breakup email, three market shifts that would hurt, a price-sensitive buyer, a skeptical investor, and a single-point-of-failure audit.

HOWRuns on your own business or a named competitor, using data already collected — no new scans. When an input is missing it says so rather than inventing numbers.

Multi-agent orchestration

Ask something complex and it's decomposed into parts, dispatched to the right specialists in parallel, and synthesised into one answer.

HOWIntent is classified in about 200ms, then work fans out with live per-agent progress on screen.
// LOCAL & REPUTATION

Citations, listings
and reviews.

Citation & NAP auditing

Checks how your name, address and phone appear across directories and tells you the exact field that's wrong on each one. Inconsistent details are among the most common and most fixable local ranking problems.

HOWFuzzy name matching plus postal-standard address normalisation and exact phone comparison, scored per listing — with a checklist for the directories no API can enumerate.

Citation discovery

Finds the forum and community threads where someone is asking for exactly what you sell, scored by how well a recommendation would fit.

HOWSearches across platforms, topics and buying-intent phrasing, then classifies each thread. A category-relevance gate stops off-topic results scoring highly, and auto-configure derives your topics and forums from the business brain.

Reply drafting

Generates one honest, compliant draft for a real person to edit and post — answer-first, no links, no invented experience, with your disclosure inline.

HOWThe app never posts anything itself. A human account owner always publishes.

Google reviews

Pulls your reviews, analyses sentiment and rating distribution, flags the ones nobody has answered, and drafts personalised replies for approval.

HOWConnects with its own Business Profile permission, asked when you connect it; replies post only after you approve them.
// COMPETITIVE INTELLIGENCE

A permanent file
on every rival.

Competitor dossiers

A growing file on each competitor, not a snapshot. Traffic trajectory, their content topics, their key page copy, their real customer complaints, and monthly history — so you can show a client what changed over a year.

HOWThe dossier is injected into every AI conversation, so the system always positions you against them rather than in a vacuum.

Battlecards — both directions

How to beat each competitor, their biggest customer complaint, and where their content has gaps. Then the same analysis pointed back at you: how they would attack your position, and what would make your customers leave.

HOWBuilt from their sitemap, their traffic, their page copy and their public reviews. Meaningful changes — traffic swings, a burst of new pages, a rating shift — surface as findings.

Revenue gap

Converts a competitive gap into a dollar figure — "you're leaving $X a month on the table" — using your own deal value, not an industry average.

HOWCombines the keyword gap with your stated economics; the basis is always printed alongside the number.
// CONTENT, SOCIAL & CREATIVE

Made on-brand
by default.

Content Hub

Which pages are planned, which are written, which are live — and which live pages have drifted from the plan, with keep / update / create flags and a publishing schedule.

HOWReconciles your content plan against your actual site. Read-only on your site, so it cannot break anything.

Edit articles by chat

Ask in plain English — rewrite this section, fix the headings, add an FAQ, mention this competitor, add schema — and optionally publish.

HOWTargeting is pinned to one specific site and fails closed, so a multi-client setup can never publish to the wrong client.

Brand Kit

Reads your real visual identity — colours, fonts, logo — from a screenshot, your HTML or a description, so everything produced is on-brand automatically.

HOWColours are validated as real values and fonts snapped to ones that actually load, so it cannot generate something broken.

Theme designer

Browse ready-made site designs or describe the one you want, then tune colours, fonts and layout with a live preview at desktop, tablet and mobile widths.

HOWPreviews render in a sandbox before anything is applied, and applying targets one explicitly chosen project.

Social suite

Compose and publish to Facebook, Instagram and Pinterest from one place. On Facebook and Instagram you can also schedule ahead and pull real engagement back per post — impressions, reach, likes, comments, shares and clicks.

HOWProper authorisation per platform. Scheduling and engagement metrics are Meta-only today; Pinterest publishes immediately and reports no per-post stats. Where performance is collected it's stored, so the report shows what actually happened, not what was scheduled.

Product Video Studio

Turns a product photo into a watchable promo video with motion and your logo — then publishes it straight to social.

HOWRendered on our own infrastructure. No generative AI — every frame is your real product photo, so nothing is invented or off-brand. A 13-second reel renders in about 12 seconds.
// REPORTING & TEAM

The document that
renews the contract.

Executive Report

The monthly client document, generated rather than assembled by hand: leads and calls, pipeline value, traffic movement, your top 50 rankings, biggest movers, AI visibility before and after, competitive position, and what was delivered with real hours against it.

HOWExports as a branded PDF or emails itself monthly. Every unconnected source prints a dash instead of a zero, and the truncated ranking table still tells you how many keywords sit in each position band below it — so nothing quietly disappears.

Client dashboards

Give every client a login that shows progress, hours, deliverables and rankings — read-only, and free on every plan.

HOWViewer seats read data already collected, so they cost nothing and never touch your billing.

Team performance

Hours and outcomes per person for the week or month, drillable to the task. Shows who's underwater before it becomes a missed deadline.

HOWDistinguishes measured hours from approximations rather than presenting an estimate as fact.

Portfolio view

One row per client — growth, traffic, position, leads, pipeline, hours against allocation, deliverables shipped and a health flag, sorted attention-first. The Monday-morning view.

HOWBuilt from data already loaded, so it's instant. Stale sources show a dash rather than an out-of-date number.
// AUTONOMOUS AGENTS

Ten specialists that work
while you don't.BETA

Built and working, but enabled account by account rather than switched on for everyone at once — so we can watch spend and quality per client. Ask us and we'll turn it on for yours.

The fleet

Chief of staff, SEO, competitors, analytics, content, partnerships, social, technical SEO, growth and design — each scanning on its own schedule and reporting what it found.

HOWRuns server-side every fifteen minutes with no browser open. Each agent is routed to the model that suits its job, and you can watch each scan step tick off live.

Approval queue

Everything they find arrives with its reasoning, impact weight and revenue estimate. Approve it and it becomes a real assigned mission on the board.

HOWReject something and it's remembered as feedback — that pattern is never suggested again.

Full control

A master switch, a per-agent pause, a per-client toggle, daily spend ceilings, and a stop-everything button.

HOWAutonomy you can halt in one click, with every action logged. Automation ships paused by default.
// COMING SOON

In development,
and not sold yet.

Neither of these is included in a plan today. We'd rather tell you what's coming than pretend it's already here.

Paid advertising COMING SOON

Your ads shouldn't start from a blank page. We already know your brand colours, your products, your best-converting keywords and which competitors outrank you — so campaigns start from what's already been measured, with creative built from your own product photos.

PLANNEDGoogle Ads and Meta Ads first, with ad performance reported beside your organic results. Further platforms announced as each goes live — not before. Ad spend is always paid by you, directly to the platform.

Dedicated marketing manager COMING SOON

The platform plus a marketing professional who knows your account — they triage what the AI surfaces, decide what's worth acting on, and meet you monthly to walk through what moved.

PLANNEDA named strategist available as an add-on above Agency Scale. Capacity will be limited, because this is delivered by people rather than software.
// HOW WE HANDLE YOUR DATA

Four rules we
don't bend.

Nothing ships without you

No post, email, article, theme change or review reply is ever published automatically. Every one is a card you approve.

We don't invent numbers

If a source isn't connected or a scan didn't run, you get a dash and an explanation — never a zero that looks like a measurement.

You can revoke us at any time

Connecting a platform stores the credential for that workspace, so publishing keeps working after you close the tab — and you can disconnect it whenever you like. Your WordPress publisher key is the exception we never hold at all. Google connections use standard authorisation and can be revoked from your Google account directly.

Spend is capped

Daily ceilings on every paid data source, visible usage, and a stop-everything switch — so automation can never produce a surprise bill.

See it against your own data.

Connect one site and the first strategy run tells you more than a month of dashboards.
